Your data contains duplicate list elements

What is happening
The Verify Data utility displays the message:

Your data contains duplicate list elements. . Please view Qbwin.log located in your program directory for a list of the duplicate elements.

The Qbwin.log file contain the message:

LVL_ERROR--Error: Verify Name list. . Duplicate name encountered. . Name: Records XXXX (1) and XXXX (2)

OR

duplicate vendor names rcrd = ##

Why is this happening

You have a form of data damage in which two or more list elements have identical names.

This damage can occur when:

  • Converting from QuickBooks for Mac to QuickBooks for Windows. . The Qbwin.log.log file may show it with a c=110 error.
  • Importing either manually (IIF) or automatically from an integrated application.
How to fix the problem

To immediately resolve the issue, add a character to the duplicate name.

After further examination of your data, you may want to delete the duplicate elements or merge them together.

Detailed Instructions
  1. Locate and open your Qbwin.log.log file.
  2. Press Ctrl + End to move to the bottom of the file.
  3. Press Ctrl + F to bring up the Find window and find the word duplicate in the file.
  4. Locate the name, account, or customer message referenced in the error message:
    1. QuickBooks 2004 and 2005:
      • Select the Lists menu and then select the appropriate list, and make sure Show All or Show Inactive is selected or grayed out.
    2. QuickBooks 2006 and later:
      • Open the appropriate Center (Vendor, Employee, or Customer) and click the View drop-down arrow and select All (customers, vendors, or employees).
      • For Other Names, Accounts, or Customer messages, select the Lists menu.
  5. Double-click the duplicate element name to open the Edit window.
  6. Add a character to the name to make it unique.
  7. Click OK to save the change.
  8. Repeat steps 5 - 7 for all duplicate list elements identified in the in the Qbwin.log file.
  9. Merge these duplicates into the original list elements, if desired (be sure to backup your company file first).
  10. Rerun the Verify Data utility. You should not receive the error message again.
