E-file a payroll tax form

To e-file selected federal and state payroll tax forms in QuickBooks, you must have a Go onlinepayroll service subscription.

To do this task

  1. Go to the Select Payroll Form window.

    1. Go to the Employees menu, click Payroll Forms, and then click Process Payroll Forms.

    2. Select Federal form or State form. Click OK.

  2. If you're preparing Forms W-2 and W-3, select the employees you want to prepare the W-2 forms for and then click Review/Edit.

  3. In the Payroll Tax Form window, review the data.

    Click View details about this form on the Payroll Tax Form window for information about how QuickBooks calculates the numbers on the form and for instructions on what you need to do to complete the return.
  4. Click Submit Form.

  5. In the Submit Form or Print/E-file Form window, click E-file or E-file Federal Form.

  6. In the Enter agency login information window, enter the agency login information required by the agency. (If you've previously e-filed this form and checked the Remember my information for next time box, QuickBooks fills in the appropriate login information.)

    Important: It's very important to enter your login details carefully. If you enter your details incorrectly, your form may either be rejected by the agency or not processed in a timely manner. More...

    Because Intuit transmits your login details along with your payment/filing information to the agency, it's very important that you provide your login details correctly as designated by the agency during enrollment (if enrollment was required). If you check the Remember my information for next time box, QuickBooks remembers your agency login details and prefills these fields the next time you login to this agency.

    Each agency has different guidelines and requirements you must follow when submitting e-payments or forms. Be sure to follow any enrollment instructions provided by the agency, if agency enrollment is required, and enter your login details carefully.

  7. Click Submit.

    What happens to the form after it's submitted?

  8. Review the information in the E-file Confirmation window.

  9. Click Close to close the confirmation window.

  10. Click Print to print copies of your form:
