Back up to a CD using Microsoft Windows XP

These instructions are for Windows XP only. file handling, backups, CD, . If you're not using Windows XP, follow the instructions for backing up to a CD using Windows Vista or Windows 2000.

Important: Windows XP includes an integrated CD Writing Wizard as part of the operating system. file handling, backups, CD, . After backing up in QuickBooks, you must then use the Windows CD Writing Wizard to write the backup file to your CD.

If you've already backed up to a CD once before and don't need to change any of your settings, you can click Finish in the backup wizard at any time to complete the backup using your existing settings.

To do this task

  1. Open the company file you want to back up.

  2. Insert a recordable CD into your computer's CD-ROM drive.

  3. Go to the File menu and click Save Copy or Backup to open the backup wizard.

  4. Click Backup copy, click Next, and then click Local backup.

  5. If you haven't already done so, click Options to set your backup defaults and choose your CD-ROM drive as the location to save your backups to. file handling, backups, CD, . Click OK.

  6. Click Next, click Save right now, and then click Next.

    Note: Although you selected your CD-ROM drive as the default location, QuickBooks temporarily saves the backup (until you write it to a CD) in the Windows temporary burn folder:

    C:\Documents and Settings\(user name)\Local Settings\Application Data\Microsoft\CD Burning

  7. Click Save to use this location and start the backup.

    Note: QuickBooks verifies the integrity of your company file based on the backup defaults you set, temporarily closes your company file, and then creates the backup.

  8. When the backup is complete, QuickBooks displays a message showing the location of the backup file. file handling, backups, CD, . Click OK.

  9. In the Save to CD/DVD message, click either:

    • Burn Now to immediately burn the backup file to a CD/DVD.

      Choosing Burn Now starts the Windows CD Writing Wizard. file handling, backups, CD, . Follow the onscreen instructions to burn the backup to your CD/DVD.

    • Burn Later to burn the backup file to a CD/DVD later.

      Note: Complete these steps outside of QuickBooks when you're ready to burn the files to CD.

      1. In Windows Explorer, browse to your CD-ROM drive.

      2. Under Files Ready to be Written to the CD select the backup file (.qbb) to burn to the CD/DVD.

      3. Go to the File menu and click Write these files to CD.

      4. Follow the onscreen instructions to burn the backup to your CD/DVD.
