Open and convert Accountant's Copy transfer file

Before you can use an Accountant's Copy, you must first convert the Accountant's Copy transfer file (.qbx) your client sent to you to an Accountant's Copy (.qba). Note that you can only convert transfer files created with either the version of QuickBooks you use or the previous year's version. For example, if you use QuickBooks 2012, you can convert transfer files created with either QuickBooks 2012 or 2011.

Your client may have delivered the Accountant's Copy transfer file to you by email, FTP, or another method. If so, copy the file to a location on your local drive or server. However, your client may have used the Accountant's Copy File Transfer, an Intuit Web service. If your client used this service, you should have received an email from Intuit that provides a link to download the transfer file to your local drive.

After the Accountant's Copy transfer file is on your local drive, you can convert it to an Accountant's Copy.

To do this task

  1. Choose File > Accountant's Copy > Open & Convert Transfer File.

  2. Review the overview of how Accountant's Copy works and click Next.

  3. Review what you can and can't do in an Accountant's Copy and click Next.

  4. Select your clients transfer file (.qbx) and click Open.

  5. If your client used the Accountant's Copy File Transfer service, enter the password used to protect the file and click OK.

  6. Review the information about the transfer file and click OK.

  7. Select a location to save the Accountant's Copy and click Save. You can also change the filename from the default.

  8. If necessary, enter the password for the Accountant's Copy. This is the same as the company file's admin password.

  9. If your client created the transfer file with either the version of QuickBooks you use or the previous year's version, you can upgrade the file to your version of QuickBooks. For example, if you use QuickBooks 2012, you can upgrade transfer files created with either QuickBooks 2012 or 2011. The change file you send to your client will be compatible with their version of QuickBooks.

    To upgrade the Accountant's Copy to your version of QuickBooks, click OK.

  10. Review the information about the Accountant's Copy and click OK.
