Configuring ODBC in QuickBooks

If you are currently an ODBC user, you must go to the Go online ODBC page to download the driver that is compatible with QuickBooks Enterprise Solutions 8.0.

Important: The first time you use the ODBC driver with a new external application, you need to run QuickBooks simultaneously on the same machine. For security reasons, only the QuickBooks Administrator can do this task.

  1. Open the company file that contains your data.

  2. Go to the File menu, choose Utilities, and then click Set up ODBC.

  3. Follow the instructions on the setup page to download and install the driver.

  4. Configure your company file as an ODBC source. For more information, please refer to the Go onlineODBC page.

  5. Click the Test Connection button on the General tab in the configuration window. If any errors occur, please refer to the Go onlineODBC Help page for troubleshooting information.

  6. Start an ODBC-compliant application (for example, Microsoft Access or Microsoft Excel) and set up the ODBC connection. You must be the QuickBooks Administrator to set up access for each application initially. After the first time your data is accessed, any user who has permissions can access your data through ODBC.

    Note: Select the appropriate data source as the Data Source Name to ensure a correct connection. For more details on setting up ODBC in different applications, please refer to the published documentation for the application in question, or to the Go onlineODBC page.

  7. Click Yes, always if QuickBooks asks permission for the driver to access your data when the ODBC driver starts.

Allow automatic access to QuickBooks files

Note: If an application runs at night when there is no other activity on the company file, QuickBooks does not need to be running for ODBC-compliant applications to access the data. To set up an application to access QuickBooks files automatically:

  1. Go to the Edit menu, choose Preferences, and then click Integrated Applications.

  2. Go to the File menu and click Preferences.

  3. Click the Company preferences tab and ensure that Don't allow any applications to access the company file is not selected.

    Note: If Notify the user before running any applications whose certificate has expired, is selected, automatic access to QuickBooks data will be suspended if the application's certificate expires.

  4. Choose "FLEXquarters QODBC" from the list of Integrated Applications, and click Properties. If you use multiple applications to access your QuickBooks data, you may have more than one listing. To verify which one corresponds to the application you are setting up, check the Details tab in the Description field.

  5. Select Allow this application to access this company file.

  6. Clear "Prompt before allowing access," and then select Allow this application to log in automatically.

  7. If your company has multiple users, select the user name for the automatic login. (Your ODBC user will have the same permissions as those assigned for QuickBooks.)

    Note: Any ODBC-compliant application can now be connected through the driver.
