To change information or amounts in Form W-2 Boxes 12 and 14 through 20

To add or edit information

  1. Click the box.

  2. Press the Down Arrow key until you reach the line you want to edit. To add a line, press the Down Arrow key until you reach the first blank line.

  3. Type your entry.

To delete an item

  1. Click the box.

  2. Press the Down Arrow key until you reach the line you want to edit.

  3. Change the value of the item to 0.00.

  4. When you close the employee's W-2, QuickBooks removes the payroll item from the box.

Notes

  • QuickBooks saves the difference between the original amount and a typed amount as an adjustment. If you make changes to your payroll data, QuickBooks adds the saved adjustment to the amount calculated from your payroll data.

  • Box 20 prints only seven characters. To change how the name prints, edit the Print on W-2 as field for the tax on the employee record.
