What if I have to add, change, or remove a company EIN?

You may need to add or change a company EIN for the following reasons:

You've just signed up for a QuickBooks payroll service, or you're upgrading your existing level of service.

You actually don't have to add your EIN in this case. When you signed up for payroll, you provided your EIN as part of the enrollment process. QuickBooks and the payroll service already know your EIN.

You want to add a new company file to your existing subscription.

Add the company (EIN) to an existing QuickBooks Payroll subscription.

You're signed up for payroll using the disk delivery service to receive tax table updates, and you want to change your EIN.

If you receive your tax table updates via the disk delivery service, you must Go onlinecontact a payroll support agent to assist you in changing your EIN.

You're an accountant using your payroll subscription to create multiple company files for your different clients.

Create a new company file for each client, enter the EIN of the client's company in the Company Information window of the new file, and then add the new company to your existing payroll subscription.

You're an accountant who no longer provides services to a client and you want to remove their EIN from your payroll subscription.

Enhanced Payroll for Accountants allows up to 50 active company files. Rather than remove the EIN, simply stop using the company file you no longer support to stay within your active file limit.

You entered the wrong EIN when you first signed up for payroll.

You must change the EIN in QuickBooks as well as with the payroll service.

  1. Go to the Company menu, and then click Company Information to open the Company Information window.

  2. Change the EIN in the Company Identification section, and click OK to save the change in QuickBooks.

  3. Follow the onscreen instructions for changing the EIN with the payroll service.

You recently incorporated your company and received a new federal EIN.

When you incorporate your company, either as a successor or non-successor of your original company, you must receive a new EIN. Then, either create a new company file, or change the EIN of your existing company file.

Note: To determine if you should incorporate as a successor or non-successor, consult with your accountant.

If you create a new company file:

  1. Create the new company file.

  2. Enter the new EIN in the Company Information window of the new file.

  3. Add the new company to your existing payroll subscription.

If you change the EIN of your existing company file:

  1. In the existing company file, go to the Company menu, and then click Company Information to open the Company Information window.

  2. Change the EIN in the Company Identification section, and click OK to save the change in QuickBooks.

  3. Follow the onscreen instructions for changing the EIN with the payroll service.
