Edit (customize) an e-mail when sending a pay stub to an employee

QuickBooks provides default e-mail text you can use as a template when you send pay stubs via e-mail to your employees. You can edit the default or you can edit the e-mail text for an individual employee when you send the pay stub.

You might want to edit the default to explain the way the password for e-mailed pay stubs is created if you have not already communicated this to your employees.

Edit the e-mail text for an individual employee

  1. Send a pay stub to an employee.

  2. While in the Select Forms to Send window, click Edit E-mail.

  3. Change or add information in the To, CC, BCC, From, or Subject fields.

  4. Edit the default text of the note, as needed.

    To edit the note, click anywhere in the note text and enter your changes. You can also make changes to the default e-mail text. Simply click the Default E-mail Text button and make the appropriate changes.

  5. Click OK.

Edit the default e-mail text for pay stubs

Important: When you edit the default text from within the Select Pay Stubs window, you must close and then re-open the Select Pay Stubs window for the changes to take effect.

  1. Open the Send Forms preferences.

    • Go to the Edit menu and click Preferences. In the Preferences window, click Send Forms in the list on the left. Click the Company Preferences tab and click Pay Stubs from the Change default for list.

      or

    • While in the Select Pay Stubs window, click Default E-mail Text. Click Pay Stubs from the Change default for list.

  2. Click the drop-down lists to change the salutation ("Dear," etc.) and the format ( etc.) of the customer's name.

    Here are examples of how the salutation and name format options work together:

    Dear Kristy Abercrombie
    To Kristy Abercrombie
    Dear Ms. Abercrombie
    To Ms. Abercrombie
    Dear Kristy
    To Kristy

  3. Edit the default text of the note, as needed.

    To edit the note, click anywhere in the note text and enter your changes.

  4. Click OK.
