Fulfill a sales order

Portions of this feature are available only in the Premier and Enterprise Solutions editions. In QuickBooks Pro, you can work with existing sales orders but cannot create new ones. Learn how to upgrade your version of QuickBooks.

After filling out a sales order, the next step is to fulfill or process it by providing the merchandise or services listed on the sales order. Providing merchandise often involves pulling the ordered items from inventory, packing them, and then delivering or shipping them. QuickBooks helps you with this process by letting you print inventory pick lists, packing slips, and shipping labels directly from sales orders.

Why use pick lists?

For reasons such as breakage, theft, and entry errors, the actual quantity of an item in inventory may not always match the quantity in QuickBooks. For this reason, it's a good idea to use pick lists when pulling inventory items to fulfill a sales order. A pick list includes a column for writing down the actual quantity picked for each item. Then, if any of the quantities picked are not the same as the quantities on the sales order, you can modify the sales order before printing the packing slip and before creating an invoice based on the sales order. You should also adjust your inventory in QuickBooks to show the actual quantity on hand for any item with a discrepancy.

Note: You can print the pick lists and packing slips for multiple sales orders at once using the Sales Order Fulfillment Worksheet.

To do this task

  1. If you're printing a pick list or packing slip, make sure the template you want to use is currently selected.

  2. Open the sales order.

  3. Click the Print drop-down arrow and choose the form you want to print.

  4. If you're printing a pick list or packing slip...

    1. Review the print settings and make any necessary changes.

    2. Click Print.

    If you're printing a shipping label...

    1. Review the print settings and make any necessary changes.

    2. Click Print.

  5. Use the forms you printed to gather, pack, and ship the order.

When you don't have enough inventory to fulfill the order
If you don't have enough of one or more products (inventory items) to completely fulfill the sales order, you can create a purchase order from the sales order for those products you need.

Once you've fulfilled the sales order, you need to create an invoice.
