My Preferences

These preferences affect how QuickBooks works for you, but not for other users.

Add Available Time/Costs to Invoices for the Selected Job

This preference group controls what happens when you create an invoice or sales receipt for a customer or job with outstanding billable time, expenses, mileage, or other items. (Note that the preference descriptions below refer to invoices, but the preferences also apply to sales receipts.)

Select one:

  • Prompt for time/costs to add

    Click this option if you want the Choose Billable Time and Costs window to automatically display every time you create an invoice for a customer with outstanding billable time, expenses, mileage, or other items. You use this window to select which billable costs to include on the invoice.

    Select this preference if you always or frequently want to include billable time and costs on an invoice.

    If you don't select this preference, you can still always access the Choose Billable Time and Costs window by clicking the Add Time/Costs button on an invoice (if there are outstanding billable time or costs for the customer being invoiced).

  • Don't add any

    Click this preference if you never want QuickBooks to automatically display either the Choose Billable Time and Costs window or a reminder message that you have billable time and costs when you create an invoice.

    Select this preference if you rarely or never pass along billable time or costs to your customers, or if you don't want automatic reminders to do so. You can still always access the Choose Billable Time and Costs window by clicking the Add Time/Costs button on an invoice (if there are outstanding billable time or costs for the customer being invoiced).

  • Ask what to do

    Click this preference if you want QuickBooks to ask you what you want to do whenever you invoice a customer or job with outstanding billable time and/or costs. At that point, you can choose to either display the Choose Billable Time and Costs window to select the costs to pass along on the invoice, or you can choose to exclude outstanding billable time and costs for that invoice. (You can always add the billable costs later by clicking the Add Time/Costs button on the invoice.)

  • You can either use the Intuit S.O. Packing Slip template that is provided, or create your own template to use as a packing slip for sales orders.

Pick List

You can either use the Intuit S.O. Pick List template that is provided, or create your own template to use as a pick list for sales orders.
