Use the QuickBooks Login window to open a password-protected company file.
If the Login window only asks for a password, enter the administrator password.
If the Login window asks for both a user name and a password, you can enter any user name/password that was set up in that
company file. User names and passwords are created for company files, not for the QuickBooks application itself.
Note: Passwords are case sensitive.
If you forgot your password, click the I forgot my password link and follow the instructions to reset your password.
Password is no longer working
These are the 3 most common reasons why passwords stop working:
The Login window asks for the administrator password, but you're using a nonadministrator password
In certain circumstances, QuickBooks will automatically display a Login window that only asks for a password but not a user name. That password is the administrator's password.
If you've been successfully logging in by entering your user name and password but now the Login window doesn't ask for a user name, you may not be set up as the administrator. Therefore, your password won't work in this scenario.
To resolve this issue, determine if an administrator was set up in the file and use that password. If you don't know the administrator's password, see Resetting forgotten administrator passwords.
You have accidentally opened a different company file
The name of the company of the file you're opening appears in bold above the user name and password fields. However, you may want to check the list of previously opened files to make sure you're opening the right one.
To do this task
On the QuickBooks Login window, click Cancel.
Choose File > Open Previous Company.
Find the correct company file in the list. Open the file and see if your password works. If it doesn't, you must reset the administrator password.
The company file is damaged
If you're certain you're using the administrator password when required, or you're using a valid user name and password for the correct file, but QuickBooks still doesn't accept the password, the company file may be damaged.
To resolve this issue, you must reset the administrator password. See Resetting forgotten administrator passwords.
