Setting Windows folder permissions

To work with a QuickBooks company file, you must have Windows permissions for the shared folder where the company file is located.

If you receive an error that you don't have sufficient permissions for the folder, ask your system administrator to make sure that the folder is shared on the network and to give users permissions to change the files in the folder.

Note: Only a user with Windows administrator privileges for the computer where the company file is located can complete these steps.

Windows 7 or Windows Vista

  1. Locate the folder containing your QuickBooks company file.

  2. Right-click the folder and choose Properties.

  3. Click the Sharing tab.

  4. Click the Share button.

  5. In the File Sharing window, enter the name you want to add, or use the drop-down arrow to select the user. Then click Add.

    Be sure to give QBDataServiceUser access

    Note: The specific QBDataServiceUser for your version of QuickBooks also needs Read/Write access to the folder containing your QuickBooks company file. Repeat step 5 to add the QBDataServiceUser for your version of QuickBooks, if it isn't already listed.

    • QuickBooks 2006 - QBDataServiceUser

  6. In the Permission Level column, select the Read drop-down arrow and select Read/Write.

  7. Click Share.

  8. Click Done to close the File Sharing window.

  9. In the folder's Properties window, click the Security tab.

  10. Click the Edit button.

  11. Click QBDataServiceUserXX.

  12. In the Permissions for QBDataServiceUserXX section, select the Full Control checkbox in the Allow column.

  13. Click OK.

  14. Click Close.

Windows XP or Windows Server

  1. Right-click the folder that contains the company file and then click Properties.

  2. Click the Sharing tab.

  3. Click Share this folder.

  4. Click the Permissions button.

  5. In the Group or user names field, select (or add) the users you want to share the folder with.

  6. In the Permissions for (user name) field, select the checkbox to allow full control.

  7. Click Apply and OK twice to close the windows.
