QuickBooks Pro and Premier allow up to 3 users to work in a company file at the same time, based on the number of user licenses you have.
How do I find out how many user licenses I have?
Press the F2 key.
You may need to minimize the Help window before pressing F2.
In the top left corner of the Product Information window, note the number of licenses listed under User Licenses.
Repeat for each installation of QuickBooks.
If you would like to allow additional users access to your company file, you must first purchase additional licenses for those users.
If you need to have more than five users access your company file
QuickBooks Enterprise Solutions (QBES) allows up to 30 users to work with a company file at the same time. QBES comes with a 5-user, 10-user, or 30-user Value Pack license.
Additional 5-user seats can be added to increase the number of users simultaneously accessing a QBES data file (up to a maximum of 30). For pricing information and the phone number to call to purchase a QBES 5-user seat, go to the QuickBooks Enterprise Solutions website.
Note: QuickBooks Enterprise Solutions: Accountant Edition comes with a single-user license, and additional users cannot be added. Please see your license agreement for further details.
Choose Help > Manage My License > Buy Additional User License.

Why isn't "Buy additional user license" available?

Go to the QuickBooks Help menu, click Manage My License, and then click Buy additional user license.
The page that opens gives you the option to buy additional licenses online or by phone. If you choose to use the phone option, you will be given the phone number to contact Intuit. If you choose to use the online option, a new page will open allowing you to choose the number of licenses you'd like to buy.
After purchasing the licenses, install QuickBooks on additional computers based on the number of licenses you purchased. Use the same license and product numbers that you used to originally install QuickBooks.
After installing, click Register QuickBooks from the Help menu to register QuickBooks as well as update your new license information.
You can also go to the Help menu, click Manage My License, and then click Sync License Data Online to update your new license information.
If you are installing QuickBooks on a computer that does not have Internet access, you can manually update your new license information by going to the Help menu, clicking Manage My License, and then clicking Buy additional user license. Use the phone option to enter the same validation code you received when you purchased your additional license.
