Resolve warning that company file already exists

QuickBooks assists you in moving your company files out of the Program Files folder.

When you try to move a company file to a location that already has a company file with the same filename, you receive a warning.

To resolve this warning, compare the two files and rename the file that is not current:

  1. Open the company file that caused the warning. (When you click OK to the warning, you will be taken back to the "No Company Open" window.)

  2. In the Move Company File window, edit the filename of your company file in the File field. For example, you can add "Copy Of" to the beginning of the filename.

  3. Click Move to start the file move process.

    When you click OK to the confirmation message, QuickBooks opens the renamed company file from the new location.

  4. Complete the update file process.

  5. Review this copy of the company file to determine how current it is. You may want to look at your account balances and make a note of the date and amount of the last transaction recorded.

  6. Go to the File menu and click Open or Restore Company.

  7. Click Open a company file (.QBW) and then click Next.

  8. QuickBooks should display the original company file as well as the renamed file in the Open a Company window. Select the original company file (not the renamed file) and then click Open.

  9. Complete the update file process.

  10. Review this company file to determine how current it is. Again, you may want to look at your account balances and make a note of the date and amount of the last transaction recorded.

  11. To make sure you work only in the correct, current company file, rename the older file. (If both company files appear to be identical, keep both files available until you are absolutely certain you are using a current company file.)

  12. To rename a file, go to the File menu and click Open or Restore Company.

  13. Right-click the older file and click Rename. Enter a new filename that will help you identify this file later.

  14. Open and continue to work in the current company file.
