Back up to a CD/DVD using Windows 7 or Windows Vista

These instructions are for Windows 7 or Windows Vista only. If you use Windows XP, follow these instructions instead.

Important: Windows 7 and Windows Vista include an integrated CD Writing Wizard. After backing up in QuickBooks, you must then use the Windows CD Writing Wizard to write the backup file to your CD.

If you've already backed up to a CD or DVD once before and don't need to change any of your settings, you can click Finish at any time to run the backup using your existing settings.

To do this task

  1. Open the company file you want to back up.

  2. Insert a recordable CD or DVD into your computer's CD/DVD drive.

  3. Choose File > Create Backup to open the backup wizard.

  4. Select Local backup.

  5. If you haven't already done so, click Options to set your backup defaults, and choose your CD/DVD drive as the location to save your backups to. Click OK.

  6. Click Next, click Save it now, and then click Next.

    Note: Although you selected your CD/DVD drive as the default location, QuickBooks temporarily saves the backup (until it is written to a CD or DVD) in the Windows temporary burn folder:

    C:\Users\(user name)\AppData\Local\Microsoft\Windows\Burn\Temporary Burn Folder

    If you don't see the Temporary Burn Folder folder

    The Temporary Burn Folder is normally hidden. To view it, tell Windows to show hidden files and folders.

    In Windows 7:

    1. Click the Organize drop-down arrow and click Folder and Search Options.

    2. Click the View tab.

    3. In the Hidden files and folders section, click Show hidden files, folders, and drives.

    4. Click OK.

    In Windows Vista:

    1. In Windows Explorer, choose Tools > Folder Options.

    2. Click the View tab.

    3. In the Hidden files and folders section, click Show hidden files and folders.

    4. Click OK.

  7. Click Save to use this location and start the backup.

    Note: QuickBooks verifies the integrity of your company file based on the backup defaults you set, temporarily closes your company file, and then creates the backup.

  8. When the backup is complete, QuickBooks displays a message showing the location of the backup file. Click OK.

  9. In the Save to CD/DVD message, click either:

    • Burn Now to immediately burn the backup file to a CD/DVD.

      Choosing Burn Now starts the Windows CD Writing Wizard. Follow the onscreen instructions to burn the backup to your CD/DVD.

    • Burn Later to burn the backup file to a CD/DVD later.

      Note: Complete these steps outside of QuickBooks when you're ready to burn the files to a CD or DVD.

      1. Click the Windows Start button and click Computer.

      2. Double-click your CD/DVD drive.

      3. Windows displays the Files Ready to Be Written to the Disc. Select the files to burn and then click Burn to disc.

      4. Follow the onscreen instructions to burn the backup to your CD/DVD.

If you don't want to use the Windows CD Writing Wizard

QuickBooks automatically uses the Windows CD Writing Wizard to back up your company file. If you want to use third-party CD/DVD writing software instead, follow these instructions.

  1. When the Windows CD Writing Wizard appears click Burn Later.

  2. Use your CD/DVD writing software to write the backup from this location:

    • C:\Users\(user name)\AppData\Local\Microsoft\Windows\Burn\Temporary Burn Folder

For help writing to the CD or DVD, use the documentation provided with your CD/DVD writing software.

Why do I get a message that I don't have rights to save the file?

Most likely, it's because you don't have permission to save to the CD Burning folder:

  • C:\Users\(user name)\AppData\Local\Microsoft\Windows\Burn\Temporary Burn Folder

How can I verify the backup was burned to the CD or DVD?

You can insert the CD or DVD in another computer and then view its contents. Or you can view the contents on your own computer.

Browse to your CD/DVD drive location (right-click the Start button and click Explore). Windows lists both " Files Ready to be Written to the Disc" as well as "Files Currently on the Disc." If you burned the backup to your CD or DVD, the backup file will be listed under "Files Currently on the Disc."
