Email estimates

You can email estimates to your customers directly from QuickBooks. When you email an estimate, your customer receives it as a PDF file attachment to the email.

To do this task
  1. Go to the Customers menu and click Create Estimates.

  2. Create the estimate.

  3. Click and then click Send.

  4. In the Edit Email Information window, check the email addresses in the From and To fields and update them if necessary.

    The From field should show your company's email address. The To field should show your customer's email address.

  5. If other people should receive a copy of the estimate, enter their addresses in the Cc or Bcc fields.

    How do I enter more than one email address?

    You can enter multiple email addresses in the To, Cc, or Bcc fields. Use commas (,) or semi-colons (;) to separate the addresses.

    Note: If you use the Billing Solutions delivery tracking feature, keep in mind that the form will be marked "Viewed" if any recipient on the Cc or Bcc list views it, including you.

  6. If needed, change the email message so that it is appropriate for your customer. To do so, click anywhere in the email message and enter your changes.

  7. (Optional) Edit the default email message for estimates.

    You can set defaults for the Bcc email address, the Subject line, and the text for emails by clicking Edit Default Text and entering information on the Company Preferences form. If you want to receive a copy of the email, enter your own email address in the Bcc field.

  8. Spell-check the email.

  9. Click one of the following:

    • Send Now to send the estimate immediately.

    • Send Later to hold the estimate to be sent later, in a batch with other forms waiting to be sent.

To do this task
  1. Go to the Customers menu and click Create Estimates.

  2. Create the estimate.

  3. Do one of the following:

    • Click Email drop-down and then click Send. Your email program opens with the estimate attached to the email.

    • To hold your estimate to send later in a batch with other forms, select the To be emailed checkbox on the estimate, and then click Save. When you're ready to send the batch, follow the steps to send a batch of emails.

  4. If you're sending the estimate now, use your email program to:

    1. Check the email address in the To field.

    2. If other people should receive a copy of the estimate, enter their email addresses in the Cc or Bcc fields.

    3. If needed, change the email message so that it is appropriate for your customer.

    4. To attach other forms to this email, create a PDF of each form you want to send to this customer and attach it to your email.

  5. When the email is ready, send it to your customer.
