Save customer credit card information safely

Your responsibilities

You must protect credit card information and store it securely. Failure to do so can result in steep fines from the major payment providers. Protection standards are set by the Go online Payment Card Industry Data Security Standards Council (PCI DSS).

QuickBooks helps protect card data by storing it for you

If you recently started processing cards, QuickBooks helps you comply by handling this sensitive information for you. QuickBooks automatically saves credit card data online with your private account information at our protected data center, removing PCI-compliance headaches.

Determine if QuickBooks handles card protection
From the menu, choose Company. If you see a menu option called Customer Credit Card Protection, you're responsible for enabling customer credit card protection. If not, QuickBooks stores credit card information for you.

How it works:

  • When you save a customer's credit card information, QuickBooks saves it to your online account.

    Note: QuickBooks adheres to rigorous online banking industry protection standards for all online data transfers and storage, using a secure internet connection and high-level encryption.

  • Credit card numbers are secured but remain linked to customers and ready to process.
  • When you take a payment, QuickBooks automatically retrieves the customer credit card number from your online account for processing.
  • The Customer record's Credit Card No. field shows masked numbers with last 4 digits for identification. Like this:


    Masking protects card numbers and means that you don't need to create and enter complex passwords for all your employees who may view this field.

How this helps you:

  • Stop worrying about limiting access to credit card numbers.
  • No need to create a complex password and change it every 90 days.
  • You pay no extra charge for this service.

Note: Even if QuickBooks saves customer credit card information online, you still must follow PCI guidelines. For instance, never store the card security code anywhere and enter credit card numbers only in the Credit Card No. field. Read more about PCI requirements.
