Finding entries in a QuickBooks Center list

You can filter the Customers & Jobs list and Vendors list to display only certain items. This is a useful way to find a particular list entry, or to display only a particular set of entries.

For example, you might want to find and display only a particular customer, or find and display only your vendors in a particular city.

You can do an initial search, then filter the results as many times as you like until you narrow it down to the entry or entries you're looking for.

To do this task

  1. Open the Custom Filter window.

    From a Center:

    1. Open the Center containing the list you want to view.

    2. Click the tab for the list (Customers & Jobs or Vendors).

    3. Click the View drop-down arrow and choose Custom Filter.

    From the Add/Edit Multiple Entries Window:

    1. Select the List you want to view.

    2. Click the View drop-down arrow and choose Custom Filter.

  2. In the Search drop-down list, choose a set of list entries in which to search.

    For example, you can specify that you want to search only the set of Customers with Open Balances.

    Choose Search Within Results to limit your search to the list contents currently displayed. Use this option to further narrow down your previous search results.

  3. In the For field, enter the exact text or numeric string that you want to find.

    The filter will only find list entries that exactly match what you type in the For field. For example, if you type in Garcia Ave. but the list entry you're looking for contains "Garcia Avenue," your list entry will not be found. A good strategy would be to type in just the word Garcia. Doing so will return list entries containing "Garcia Avenue."

  4. Go to the In drop-down list and choose the field(s) you want to search.

    The items in this drop-down list come from fields in the New or Edit window for customers, jobs, or vendors.

    • If you don't want to limit your search, choose All Common Fields from the drop-down list. This searches through all the fields in this drop-down list.

    • Choose Name fields to find information in the Customer Name or Job Name for the Customers & Jobs list, the Vendor Name for the Vendors list, plus the Company Name, Contact, and Alt. Contact fields for both lists.

    • Choose Address fields to find information in the Bill To and Ship To (default only) fields for the Customers & Jobs list, or the Name and Address field for the Vendors list.

    • Choose Phone fields to find information in the Phone, Fax, and Alt. Phone fields for both lists.

    • Choose a single, specific field in the drop-down list, such as City, ZIP, or Account Number to search in only that field.

    • Choose Custom fields to search all the custom fields found on the Additional Info tab of the New or Edit window for customers, jobs, or vendors.

    • Choose Notes to search the Notes found in the Information area of the Customer Center or Vendor Center, as well as the Edit Customer, Edit Job, and Edit Vendor windows.

  5. Click Go.
