Expenses or Time Are Missing from the Invoice for Time & Expense Feature

When using the Invoice for Time & Expenses feature, time data and/or transactions are are missing.

Why this is happening
  • One or more of the columns are not displayed
  • The time data or transactions are not marked as billable 
  • The time data or transactiosn have already billed
How to fix it

Solution 1: One or more columns are not displayed:

  1. Open the Invoice for Time & Expense feature
    •  Go to the Customers menu > Invoice for Time & Expense.
  2. Right-click in any column.
  3. Select the billable type(s) you wish to display (Time, Expense, Mileage, and/or Items).

Solution 2: Time Data or transactions are not marked as billable :

  1. Locate the entry using a report.
    • Mileage 
      1. Go to the Reports menu > Jobs, Time & Mileage > Mileage by Job Detail.
      2. Click on the Customize Report button in the upper-left corner.
      3. Click on the Filters tab.
      4. Select the Billing Status filter on the left.
      5. Select Not Billable from the Billing Status choices.
      6. Click OK to create the report .
    • Item 
      1. Go to the Reports menu > Jobs, Time & Mileage > Unbilled Costs by Job.
      2. Click on the Customize Report button in the upper-left corner.
      3. Click on the Filters tab.
      4. Select the Billing Status filter on the left.
      5. Select Not Billable from the Billing Status choices.
      6. Select the Item filter on the left.
      7. Select All Sales Item from the Item choices
      8. Click OK to create the report.
  2. Double-click on the entry to display the time/transaction form.
  3. Look for the entry Billable column or checkbox and mark the entry billable with a check mark.
    Note: If the entry has an invoice icon, the item has already been billed. If you need to re-bill it, follow Solution 3.

Solution 3: Entry has already billed:

  1. Using a report from Solution 2: Step 1, display the transaction form and click on the Invoice icon under the Billable column.
  2. Click Yes to confirm.
  3. Click Save & Close.
