QuickBooks file manager cannot upgrade files while QuickBooks is still running

When running the Batch Upgrade Utility within the QuickBooks File Manager, the user receives:


Upgrade error

QuickBooks File Manager cannot upgrade files while QuickBooks is still running. Close QuickBooks and try again.

How to fix it

This message can occur if any version of QuickBooks is open.  If you do not have any versions of QuickBooks Desktop open, it is caused by a process that is running in the background.

  1. Open the Task Manager.
    1. Right-click on the Windows Task Bar.
    2. Select Task Manager from the list.
  2. Click on the Processes tab.  This will display a list of processes that are currently running.
  3. Click on Image Name.  This will display the list of processes in alphabetical order.
  4. Scroll down and locate and end all of the following processes, if they are displayed:
    • QBW32.exe
    • QBUpdate.exe
    • QBHelp.exe
  5. Close the Task Manager.
  6. Open the QuickBooks File Manager, and attempt the upgrade again.

Note:  QuickBooks Desktop is setup as a startup item, by default.  If you wish to turn this preference off, you can do the following:

  1. Open QuickBooks.
  2. Open the Edit menu and select Preferences.
  3. Select the General preference.
  4. Under the My Preferences tab, uncheck Keep QuickBooks running for quick startups.
