QuickBooks will not accept my web mail password

You receive a message that your email or password is incorrect when you try to send forms using web mail (Gmail, Yahoo! Mail etc.).

How to fix it


This issue usually occurs if an application installed on your system, usually an anti-virus or security program, is blocking the communication ports that QuickBooks needs in order to send email through these web mail applications.

All users – Antivirus settings (McAfee):

The following is the set of instructions on adding process exclusions for McAfee anti virus only:

  1. Click the Windows Start button, select All Programs, select McAfee, and click VirusScan Console.
  2. Double-click Access Protection.
  3. Select the appropriate Port Blocking rule and click Edit.
    Example: Anti-virus Standard Protection, Prevent mass mailing worms from sending mail
  4. Add the following process names to the list of Excluded Processes.
    • QBW32.exe - C:\Program Files\Intuit\QuickBooks [year]\QBW32.exe
    • QBDBMGRN.exe -  C:\Program Files\Intuit\QuickBooks [year]\QBDBMgrN.exe
    • QBDBMGR.exe - C:\Program Files\Intuit\QuickBooks [year]\QBDBMgr.exe
  5. Click OK until the Access Protection Properties window is closed.
  6. Exit VirusScan Console.
  7. Try to send an email through QuickBooks again. 


All users – Port settings:

To fix this issue, you must change the settings on your anti-virus or security software to allow communication through these secure SMTP ports:
  • Yahoo: port 465
  • Gmail, Hotmail, and others: port 587

Instructions on editing settings to allow communication through these ports are different depending on the anti-virus or security program you are using.  Please see the documentation for your anti-virus software for the proper instructions.
