Black squares on printed custom forms or saved .pdf files instead of images or logos

You may see black squares on printed forms or when you save forms as .pdf files. This may occur on invoices, statements, estimates on other forms.


Why this is happening

QuickBooks Desktop uses the image file you specified on your form whenever it prints the form or saves it as a .pdf file. You may see black squares when:

  • Image files were moved, renamed or deleted.
  • Image files are damaged.
How to fix it

Solution 1: In QuickBooks Desktop, remove or replace the images files on the affected templates

  1. Go to the Home page then click any of the following: the Estimates icon, the Invoices icon, or the Sales Receipt icon.
  2. Click the Customize drop-down arrow, then click Logo & Fonts.
  3. In the Basic Customization window, select Use Logo.
    • If you have not previously used a logo, a window opens where you can select a logo.
    • If you have been using a logo and want to change it, click Select Logo to select the image you want to use.
  4. For best results, your logo image should be square. Your logo image will be reduced and sized to fit in a square space.
  5. Click Open to return to the Basic Customization window and preview your logo.
  6. (Optional) Click Print Preview to see a larger preview.
  7. Click OK.

If you still see the black squares, continue to Solution 2.
