Reconcile Credit Card window shows full payment when only a partial amount was paid

When reconciling a credit card account, the beginning balance is incorrect, and a bill appears in the payments and credits section for the full amount of the previous month's balance, when only a partial amount has been paid.

This situation may occur if a bill for the full amount of the credit card balance was created after reconciling the account, and then the bill was partially paid. QuickBooks assumes that the original full amount of the bill has been paid, and displays this amount (instead of the partial payment amount) in the Reconcile credit card window.

To resolve the immediate issue, edit the bill for credit card payment to reflect the amount of the actual bill payment:

  1. From the Vendor center, select the vendor name used on credit card payments.
  2. Open the bill used to pay the previous month's credit card balance.
  3. Edit the amount in the Amount due column to match the amount of the bill payment.
  4. Click Recalculate.
  5. Click Save & Close.

To avoid this problem in the future, edit the bill created after reconciling the credit card account to reflect the actual amount to be paid:

  1. Click the Reconcile Now button when you have finished reconciling.
  2. In the Make payment window, Click Enter a bill for payment later.
  3. In the Enter bills window edit the payment amount.
  4. Click Recalculate.
  5. Click Save & Close.

To resolve without changing the total bill amount, but still reflect the amount of the actual bill payment:

  1. From the Vendor Center select the vendor name used on credit card payments.
  2. Open the bill used to pay the previous month's credit card balance.
  3. In the Expenses tab of the Bill edit the first line Amount due column to match the amount of the bill payment.
  4. Click the into a new line of the Expense tab.
  5. Enter the same expense account as the partial amount above in the Account field.
  6. Enter the amount of the remaining balance.
  7. Click Recalculate.
  8. Click Save & Close.
