Total income amount on Profit & Loss does not match Sales by Customer Report

The total amount on a Sales by Customer Detail, or Sales by Customer Summary report does not match the total
income on a Profit and Loss report created for the same date range.
 
This is due to differences in where these two reports get their information:
  • Transactions which use an income account but do not include a customer name will not appear on a Sales by Customer report.
  • Transactions which include a customer name, but do not include an income account or an item tied to an income account, will not show on the Profit and Loss report.
How to fix it
  • Create a Profit and Loss which shows only activity assigned to customers, and a Sales by Customer report which shows only activity which affects income accounts. Make sure that the totals on these two reports match.
  • If necessary, locate transactions which appear on Sales by Customer report but not the Profit and Loss report, or vice versa.
 

To view a Profit and Loss report which shows only the income assigned to a Customer:Job:

  1. Under Company and Financial in the Reports menu, select Profit and Loss by Job.
  2. Select the appropriate date range.
  3. In the Columns drop-down select Total only.
Compare the Total Income on this report to a Sales by Customer report modified to include only income accounts.
 
To create this report:
  1. Under Sales in the Reports menu choose Sales by Customer Detail.
  2. Click Customize Report in the top left corner and click the Filters tab.
  3. Choose Account  in the Choose Filter window and select Income and other income accounts.
  4. Click OK to view the report.
  5. The total of this report should match the Total Income amount in the Profit and Loss by Job report created previously.

To locate individual transactions which appear on the Profit and Loss but do not appear on the Sales by Customer reports:
 
  1. Double-click on the Total Income figure on the Profit and Loss to open then Transaction Detail by Account report.
  2. Click Customize Report in the top left corner and click the Filters tab.
  3. Choose Name in the Choose Filter window and select Customer:Job from the drop-down.
  4. Click OK to view the report.
  5. Look for any transactions which have nothing in the Name column: the amounts of these transactions will be excluded from the Sales by Customer reports.
  6. Review these transactions to see if a customer name needs to be added to the transactions.

To locate individual transactions which appear on the Sales by customer reports but do not appear on the Profit and loss:

  1. Close or minimize all open windows.
  2. Under Sales in the Reports menu choose Sales by Customer Detail.
  3. Click Customize Report in the top left corner and click the Filters tab.
  4. Choose Account  in the Choose Filter window and select Income and other income accounts.
  5. Click OK to view the report.
  6. Repeat step 2 to open a second Sales by Customer Detail Report.
  7. Set the correct date range, but do not modify.
  8. From the Windows menu select Tile Vertically.
  9. Compare the two reports for differences.
