Error: "The amount for item [xxx] is larger than the maximum allowed" or "This number is larger than the maximum allowed"

You enter an invoice and see either of the following errors:

  • The amount for item [xxx] is larger than the maximum allowed
  • This number is larger than the maximum allowed

These errors occur if the quantity for an item exceeds 9,999,999.99 or if you enter too many numbers to the right of the decimal point.

 

How to fix it

If you are having an issues with decimal places, take a look at Adjust the number of places to the right of the decimal point in QuickBooks.

If you need to have a quantity of an item in excess of 9,999,999.99, create multiple lines on the invoice for the same item:

  1. On the invoice, click the Item drop-down arrow and select the item from the list.
  2. In the Qty column, enter a quantity for the item that is less than 9,999,999.99.
  3. On the next line, click the Item drop-down arrow again and select the same item.
  4. In the Qty column on this line, enter a quantity for the item that adds up to the total quantity.
  5. Click Save & Close.

If a number is larger than 9,999,999.99, it is normal to receive this message. However, if you are not entering a large number like this and are still receiving this message, you may need to adjust your Regional and Language Options in Windows.

  1. Choose Start > Settings > Control Panel
  2. Double-click Regional and Language Options
  3. Under the Regional Options tab, ensure that English (United States) is selected
  4. Click Customize...
  5. Make sure the settings you see are the same as the following list:
    • Currency symbol: $
    • Positive currency format: $1.1
    • Negative currency format: ($1.1)
    • Decimal symbol: .
    • No. of digits after decimal: 2
    • Digit grouping symbol: ,
    • Digit grouping: 123,456,789
