Import Accountant's Changes is grayed out

When trying to import the Accountant's Changes file, the link to Import Accountant's Changes menu option is grayed out.

Why this is happening

There are several possible causes:

  • Restrictions were removed
  • Client is in a different file
  • Backup file was restored
  • Accountant's changes file was already imported
  • File was upgraded to a new QuickBooks Year or to QuickBooks Enterprise Solutions
How to fix it

Intuit recommends more than one solution for this problem. The first solution may solve your problem, or you may need to try all of them to resolve the issue. For best results, perform the solutions in the order shown.  

Solution 1: Restrictions were removed

Restore a backup file prior to the cancellation.  If there is no backup that has the Accountant's Copy Pending, the client must create a new Accountant's Copy and and all changes must be recreated.  Alternatively, the changes can be manually entered into the client's file.

Solution 2: Client is in a different file
  1. Go to the File  > Open Company or Open Previous Company
  2. Open the correct file.
Solution 3: A backup or portable company file was restored

Convert the Accountant Copy to a Company file, print out the Audit Trail from the client's file, send the company file to the client as backup or portable company file, then add the entries to the new Company file.

Solution 4: Accountant's Changes file was already imported

Create a new Accountant's Copy and re-enter/ import the new changes.

Solution 5: File was upgraded to a new QuickBooks Desktop Year or to QuickBooks Desktop Enterprise

Restore a backup file that was created prior to the upgrade.
