Error: unable to retrieve connected files and user list, when scanning folders in data base manager

When scanning folders that contain QuickBooks data files for multi-user access, you get the error: unable to retrieve connected files and user list.  This can happen on either Windows 2003 or 2008 Servers. 
This error can happen when the QuickBooks Database Server Manager (QBDMgr)  is not installed:
  • On the root of the server, or
  • The files are located on external hard drive or
  • Firewall blockage.
After scanning and getting the above error, you are able to open file at workstation from server (ensure hosting is turned off), however it opens in single user mode. Then, when trying to switch to multi-user you get the error: You are trying to work with a company file that is located on another computer... needs additional installation and setup.


How to fix it

Important: Intuit recommends to store your QuickBooks file(s) locally where your QuickBooks Databse Server Manager is installed.
