When opening payroll setup you may receive the following message:

The specified special account already exists.

How to fix it

Intuit recommends more than one solution for this problem. The first solution may solve your problem, or you may need to try both of them to resolve the issue. For best results, perform the solutions in the order shown.

Solution 1:  Rename special accounts back to QuickBooks Desktop default 

Note: If you do not remember what you renamed the Payroll Expenses and/or Payroll Liabilities accounts:

  1. Go to Lists>Payroll Item list. 
  2. Press Ctrl and N on the keyboard at the same time to create a new payroll item.
  3. Select Custom Setup, press Next.
  4. Select Company Contribution, press Next.
  5. Enter Test as the name for the item, press Next.
  6. In the Agency for company-paid liability screen, note the liability account and the expense account. These are the two accounts you need to rename back to the default name.
  7. Press Cancel to get out of the Add new payroll item setup screen.
  8. Go to Lists>Chart of Accounts.
  9. Locate the accounts that need to be renamed, select, click CTRL+E to edit.
  10. Enter corrected name, i.e. Payroll Expenses or Payroll Liabilities.
  11. When finished, click Save & Close.
  12. Repeat steps 9-11 with other account if needed.

Solution 2:  Unlinking Accounts

  1. Click on Lists>Chart of Accounts.
  2. Find the Payroll Liabilities account, right click and select Edit Account.
  3. Uncheck the Subaccount of box.
    Click Save & Close.
  4. Repeat for Payroll Expenses account if needed.
