Error: Unable to access [file name] in location [path] when you create or upload an online backup

When trying to create or upload an Online Backup, the following error occurs:

Unable to access [filename] in location c:\[path]\[filename]
Why this is happening

This error indicates the file referenced in the log entry was open when Online Backup attempted to back up the file. This error can occur if the file is open or in use by another program (often the one that created the file) or by a separate process such as a virus scan utility.

How to fix it

Solution for scheduled backups:

  1. Be sure all programs are closed before the backup is scheduled to run. The Online Backup application cannot back up open files, including QuickBooks company files.
  2. Occasionally software applications leave processes running after you've closed them. If this error occurs frequently and you are certain that all files and programs are closed, be sure the program is not appearing as a running process in Windows Task Manager:
    1. Press Ctrl + Alt + Del and then click the Task Manager button. The Task Manager opens.
    2. Click the Processes tab, and look for running applications related to the file you are trying to back up.
    3. If an application is running, select the application name and click the End Process button.

Solution for manual backups created in QuickBooks:

  1. Ensure that the Online Backup is being initiated from within QuickBooks Desktop.
  2. If the company file is being used in multi-user mode, verify the file is not open on another workstation.
