Error: QuickBooks is not able to convert your Mac file to a Windows file

When attempting to convert a QuickBooks for Mac company data file to a QuickBooks for Windows company data file, the following message is returned:

QuickBooks is not able to convert your Mac file to a Windows file. Restore was successful, but the file cannot be opened in this version without being updated.
Why this is happening

Possible causes for this error:

  • A document's memo field contains too many characters.
  • Duplicate memorized reports that were created when the file was moved between QuickBooks for Mac 5.0 and QuickBooks for Windows. Round tripping using the Conversion utility from QuickBooks for Mac 5.0 to QuickBooks for Windows was not supported.
  • There is an unrecognizable character in a specific transaction.
How to fix it

Intuit recommends more than one solution for this problem. The first solution may solve your problem, or you may need to try all of them to resolve the issue. For best results, perform the solutions in the order shown.             

Solution 1:  Update both versions of QuickBooks to the latest release

  • In QuickBooks for Mac, select QuickBooks > Update QuickBooks
  • In QuickBooks for Windows, select Help > Update QuickBooks
  • Alternatively, updates can also be downloaded form www.quickbooks.com/support/updates.html


Solution 2:  Perform basic data corruption checks/repairs


Solution 3:  Edit the length of entries in the Memo field

  1. Open the company data file in QuickBooks for Mac.
  2. Generate a Transaction Detail by Date report for all dates:
    1. From the Reports menu, choose Transaction Detail Reports, and then select By Date.
    2. Select All in the Dates field.
    3. Review the Memo column (the Item Description field on forms) for any text that is longer than the maximum 100 characters.
    4. Double-click the transactions with large memos or descriptions and then either delete or shorten those memos to less than 99 characters.
    5. Create a new backup file for your QuickBooks for Windows file and then attempt the conversion again.


Solution 4:  Delete duplicate memorized reports

  1. Open the company data file in QuickBooks for Mac.
  2. From the Reports menu, select Memorized Reports.
  3. Examine the Memorized Reports list looking for any duplicate reports.
  4. Delete all duplicate memorized reports.
  5. Create a new backup file for your QuickBooks for Windows data file and then attempt the conversion again.


Solution 5:  Clean up the company data file to remove an unrecognizable character

  1. Open the company data file in QuickBooks for Mac.
  2. From the File menu, select > Condense Data.
  3. Follow the onscreen instructions.
  4. Create a new backup file for your QuickBooks for Windows data file and then attempt the conversion again.
