Add users to your QuickBooks Desktop license

In each version of QuickBooks Desktop, you can purchase licenses for different numbers of users:

  • QuickBooks Desktop Enterprise: up to 30 users.
  • QuickBooks Desktop Premier: up to 5 users.
  • QuickBooks Desktop Pro: up to 3 users.


To determine how many licenses you have:

  • Open Quickbooks
  • Press F2 to open the Product Information Window. 
  • In the top left hand corner, the Product Information Window displays the number of User Licenses
Adding licenses

If you need additional licenses to meet your business needs or have questions about pricing available to you. and follow the steps below.

  1. Open QuickBooks Desktop.
  2. In the Menu Bar, select HELP.
  3. Scroll down and select Manage My Licenses.
  4. Scroll across and select Buy Additional Licenses.
  5. Click Buy Now.

Note: When adding a new user to a QuickBooks Desktop file, you might see this message:

Add this user to my QuickBooks license

This just means that you can add another seat to your QuickBooks Desktop license at this point, if you need to. It does not add a specific user to your QuickBooks Desktop license.

User license seats or the number of separate licenses determine how many users can access the file simultaneously, but it does not specify which users can access the file. To assign a license to a user, you must install QuickBooks with that license on that person's computer.
