Set up QuickBooks Scan Manager for QuickBooks Attached Documents

Before you scan documents for the first time or if you install a new scanner, you will need to set up the QuickBooks Scan Manager.

Important: You must use a TWAIN compliant scanner with QuickBooks Scan Manager.

The following scanners are confirmed to work with QuickBooks Scan Manager in QuickBooks 2012, R3:

  • HP Laserjet 3030
  • Epson Perfection 2450
  • HP PhotoSmart C6180
  • Epson Perfection Scan GT-2500
  • Fujitsu ScanPartner Fi-5110CU
  • Epson Stylus CX5200
  • Visioneer Strobe XP300
  • HP OfficeJet 7410

  1. In QuickBooks, click the Docs icon to open the Doc Center.
     
  2. Click Scan a Document.

     
  3. Select the appropriate Scan Profile, or to set up a new profile, click New.


    1. You can edit the name of your profile or leave it as New Profile, then click Continue.

       
    2. You can adjust the profile settings as appropriate or leave them set to the defaults, then click Save. Note: You cannot change the default destination folder. Your scanned documents will always save to the same folder as your company file (QBW). If you want to change the scan destination path, you would have to change the path your company file is stored.

       
  4. Select your New Profile, then click Select.

     
  5. Click Scanner Setup Wizard.

     
  6. You should see your scanner listed in the Current Selection field.

     
  7. If you do not see your scanner listed, select the Yes radio button, then click Next to download the latest scanner database from Nuance.

     
  8. Choose the appropriate mode, typically this will be Normal Mode. Check the Perform Tests check box, then click Next.

     
  9. Click Next again to start testing your Scanner.

     
  10. Select the tests you want to run, then click Next.

     
  11. Click Next again to start the scanner test.

     
  12. You should see the test page that you scanned in place of “Your scanner document here.” Check the Repeat this test in order to check all modes check box, then click Next to continue testing in other available modes.

     
  13. Click Next again to perform the next test.

     
  14. Once you have tested all modes successfully you can use your scanner with QuickBooks.
