Save PDF Document in legal size, landscape or portrait orientation

This article describes how to set a PDF in legal size, landscape or portrait orientation.

Detailed instructions
To save PDF document in landscape or portrait orientation

The orientation must be set before the document is saved. Select the desired orientation in the printer options for the printer you are using in the QuickBooks Printer Setup for Reports.

  1. From the QuickBooks File menu, select Printer Setup.
  2. On Settings tab choose "Report" from the Form Name drop down.
  3. Click on the "Options" button next to your Printer name to open the properties window for the printer you are using.
  4. This window will be specific to the printer but there should be an Orientation section generally on the Setup tab.
  5. In the Orientation Section select your desired orientation "Portrait" or "Landscape".

Note: There is an orientation setting in the QuickBooks Printer setup window but it does not change the orientation when saving the PDF document.  Only the setting in the printer properties has the desired effect on the orientation.


To create a legal size PDF in QuickBooks Desktop

  1. Go to Printers and Faxes:
    • Windows 10/8/7 and Vista:
      1. On the keyboard, press the Windows logo+R. The Run dialog box opens.
      2. Enter control printers then click OK. The Devices and Printers window opens.
  2. Right-click on the XPS Document Writer and go to printing preferences.
  3. Click on the ADVANCED button at the bottom right.
  4. Click on the link that says IMAGES:  JPG - MEDIUM COMPRESSION.
  5. Change it to JPG - MINIMUM or  PNG lossless compression.
  6. Create the PDF as normal.
  7. Open the PDF and go to File > Print.
  8. Click on the PROPERTIES button > click on the ADVANCED tab and change the paper size to legal.
  9. You will now see your legal size PDF in its entirety.
