Remove company files listed in QuickBooks Online Sevices

Upon signing in to QuickBooks online Edition or other QuickBooks Online Services, you will fbe prompted to select from an auto-populated list of company files. These are the files that you use or are affiliated to you (and your company/business).

In specific cases, some files, however outdated or inactive for a long time, remain in the list and will appear upon sign-in until you are removed from the company's user list. This happens once you have been granted access to a company file's online services.

Detailed Instructions

Important: QuickBooks support cannot remove you from a company's user list. Only users with administrative rights to the company file's online services can perform the task. You may contact the company's administrator regarding this concern.

To remove a user from your company's online services user list:

  1. Sign in to http://login.quickbooks.com.
  2. If you are granted access to more than one company, select the appropriate company in the drop-down menu at the top of the page.
    If you do not see a drop-down menu, continue the steps.
  3. Select Edit/Remove a User's access.
  4. Select the User you want to remove and click Remove User. Once removed, click OK. Note: The process may take some time to complete.
    Note: If the user you want to remove is yourself (and you are the only admin on the account), you need to grant administrator access to another user before removal.
     

To grant another user administrative access to your account and remove old administrator:
 

  1. Sign in to http://login.quickbooks.com.
  2. Select the chosen company name from the drop-down menu at the top of the screen.
  3. Select Give someone access to this account.
  4. Enter the user's email address, choose Full Administrative Rights, then click Add User.
  5. Have the user sign in to their email inbox and follow the instructions to access Intuit Business Services.
  6. To initiate transfer of admin access.
    • Return to Edit/Remove a user's access. If you use the old admin to remove user, the section Transfer Master Account Administrator privileges will appear.
    • Select the new Admin in the User Name drop-down and click Transfer Privileges. Note: Process may take a while to complete.
  7. The new Admin has to follow the emailed instructions to accept transfer. Once completed, login to http://login.quickbooks.com as the new Administrator
    and return to Edit/Remove a User's access to remove the old admin completely.
