Starting a new company by copying and renaming an existing company file

You can create a new company file by copying and renaming an existing file and moving it to a different computer.

Copying the company file retains all of the lists, transactions, templates and preferences used to create the original company file.

Detailed instructions
  1. Locate the directory containing the existing QuickBooks company file:
    1. Open the company file in QuickBooks.
    2. Press the F2 key to open the Product Information window.
    3. In the File Information: field, write down the current files location to ensure you follow the correct path to the file you are going to copy.
    4. Close QuickBooks.
  1. Copy the existing QuickBooks company file:
    1. Click Start > Computer (Computer on Windows 7).
    2. Browse to where the company file is located (using file path information from step C above). The company file will be a green QuickBooks icon and have a .qbw file extension.
      • If the file extensions are not visible, you may need to change your Windows view settings to show file extensions.
    3. Right-click on the company file and select Copy.
  1. Browse to the new location that you would like to copy the file.
  2. Right-click and select Paste to copy the file to the new location.
  3. Open the file in QuickBooks by clicking File > Open or Restore Company... > Open a company file, and then browsing to the location that you chose to paste the new file.

Note: All transactions from the original company file are included in the copied file. If you want to remove this existing data, use the Condense Data Utility to remove all of the existing transactions.
