Payroll Tax Support

Requirements and Limits
To process state payroll tax forms in QuickBooks, you must have QuickBooks 2005 (or later) and an active QuickBooks Enhanced Payroll subscription.

To electronically file (e-file) and pay (e-pay) your payroll tax payments from QuickBooks, you must have QuickBooks 2007 or above, an internet connection and an active QuickBooks Enhanced Payroll subscription.

If you are an accountant or bookkeeper preparing state payroll tax forms for clients who have an active subscription to QuickBooks Payroll, your client's subscription must also be Enhanced Payroll, not Standard Payroll.

State and Federal Forms Capacity For QuickBooks 2005 or later:

  • Dollar amounts are supported up to $9,999,999.99. These include automatically calculated totals which may need to be reported on a state or federal form.
  • QuickBooks company files are supported up to 800 employees. However, performance may slow significantly when processing files containing more than 150 employees, and will depend on your computer's processor speed. Upgrading your hardware or using QuickBooks Enterprise Solutions will help improve performance.
  • Some supported state forms can only be submitted to their issuing agency on pre-printed government forms. We support a limited number using reports that display your QuickBooks data for you to transfer to the pre-printed forms. We indicate these forms in the list with "Payroll Report to Complete..." before the form name.

E-file & pay:

  • E-file & pay is released as a Beta feature for some state agencies, which means that it is a version of the feature that is made available prior to its official release for the purpose of testing.
  • Enrollment with your tax agency may be required. If your agency requires that you enroll in its electronic payment program, you must enroll directly with your agency and complete the process before you submit an e-payment from QuickBooks. When you set up your scheduled payments in QuickBooks, you'll receive complete, agency-specific enrollment instructions.
  • E-pay functionality for penalty and interest payments is not supported by all agencies that support e-payments from QuickBooks. For information about paying a penalty or interest payment to your agency, go to the Help menu in QuickBooks, click QuickBooks Help, and then search the Index for 'payroll taxes, penalties' or 'payroll taxes, interest'.

Printing:

  • Duplex (2-sided) printing is not supported for tax forms.
  • State pre-printed forms are supported on a limited basis. These forms are supplied by state agencies which do not allow computer generated reproductions but may allow form completion with computer printed data.

Several states, including Minnesota, are in the process of converting all employer filings and payments to proprietary e-filing systems and will not approve forms from any outside source.

 

 

E-File & Pay requires QuickBooks 2007 or above, an active Enhanced Payroll subscription, activation and internet access.
