Adding an EIN to existing Standard or Enhanced Payroll subscription
Overview

You can add a company to an existing QuickBooks Standard or Enhanced Payroll Service subscription and you can move a company from one subscription to another with your QuickBooks Financial Software.

Using the same registered copy of QuickBooks, you can process payroll for multiple companies with a single QuickBooks Standard or Enhanced Payroll subscription. The contact information and payroll administrator for the subscription will be the same for all the companies you add. You can either add a new company to an existing subscription, or actually move the company from one subscription to another.

Note: If a subscription has been purchased directly from QuickBooks prior to creating a payroll company file, please see the alternate steps.

If you pay your employees with Direct Deposit (DD), you can have multiple companies with DD on the same Standard or Enhanced Payroll subscription.

The Standard or Enhanced Payroll services have a limited number of companies you can add to a single subscription:

  • QuickBooks Standard or Enhanced Payroll has a maximum of three (3) companies.
  • QuickBooks Enhanced Payroll for Accountants has a maximum of 50 companies
Detailed Instructions

You can use a single QuickBooks Payroll subscription to process payroll for multiple companies.

Limitations

  • You must use the same registered copy of QuickBooks to process payroll for all companies on a single payroll subscription.

  • The contact information and payroll administrator for the payroll subscription will be the same for all companies you add to a single subscription.

  • Each QuickBooks Payroll service has a limit on the number of companies you can add to a single subscription.

To do this task:

  1. Go to the File menu, and then click Open or Restore Company.
  2. Click Open a company file, and then click Next.
  3. Browse to find the company file you want to add and click Open.
  4. Go to Employees menu, and then click Payroll.

    What if the menu item isn't there?

    If the company has an existing QuickBooks Payroll subscription and you want to move it to another QuickBooks Payroll subscription, then go to the Employees menu, then:

    • In QuickBooks 2007 or higher: select My Payroll Service, and then click Change Payroll Service Option.
    • In QuickBooks 2006: Payroll Service Activities, then Modify Payroll Service Options.
    • In QuickBooks 2005: select Payroll Services, then Add/Change Payroll Service). (Skip step 5).

  5. Click Use My Existing Payroll Service.
  6. Follow the onscreen instructions to add the company to your existing subscription.

Note for Disk Delivery users: If you prefer the disk delivery option for receiving your payroll updates (rather than the online option), you must call Intuit to add this company file to your existing subscription.

Alternate Steps:

If a subscription has been purchased directly from QuickBooks prior to creating a payroll company file, then a subscription number will not be available when clicking Use My Existing Payroll Service. Please use the following steps in this instance:

  1. Contact QuickBooks payroll support at (800)624-2106
  2. Provide the EIN and you will be given a unique Payroll Service Key number
  3. Go to Employees>Payroll>Enter Payroll Service Key
  4. Click Add and enter the Service Key as onle long number with no hyphens
  5. Click Finish

A new Tax Table will be downloaded and payroll functions will be activated in the QuickBooks company file.

To move a company EIN to another QuickBooks Standard or Enhanced Payroll subscription, please call QuickBooks payroll support at (800) 624-2106.

Important: If you receive payroll updates with the disk delivery option, please contact QuickBooks payroll support at (800) 624-2106 to add a company EIN to your existing subscription.
