Setting access permissions for QuickBooks in Microsoft Windows XP

Overview

You may need to set access permissions on your computer to run QuickBooks. . The following instructions apply only to Windows XP.

If you are using Windows Vista, see setting permissions for QuickBooks in Windows Vista.

Note: Microsoft recommends not having more than 10 machines connecting to a Microsoft Windows XP machine in a peer-to-peer network. . Any more may result in performance issues.

Detailed Instructions
Note: The special data service users that require permissions are:
  • QuickBooks 2006 - QBDataServiceUser
  • QuickBooks 2007 - QBDataServiceUser17
  • QuickBooks 2008 - QBDataServiceUser18
  • QuickBooks 2009 - QBDataServiceUser19
To set permissions:
  • Windows XP Pro

  1. Be sure simple file sharing is disabled:
    1. Double-click the My Computer icon.
    2. Select the Tools menu and select Folder Options.
    3. Click the View tab, ensure that the Use simple file sharing (recommended) checkbox at the bottom of the list is not checked, and click OK.
  2. Double-click the drive containing the shared folder and locate the shared folder.
  3. Right-click on the shared folder and select Properties.
  4. On the Sharing tab, select Share this folder, and click the Permissions button.
  5. Select Everyone in the Group or user names,and in Permissions for Everyone under Allow select Full Control.

  • Windows XP Home Edition:

  1. Click the Windows Start button and select Run. . Enter shrpubw and click OK.
  2. When the Shared folder wizard starts, click Next.
  3. Click Browse and select the shared folder.
  4. Enter a name for the share (this name can be the same as the folder name), and then click Next.
  5. Select Customize permissions, and then click Custom.
  6. Select Everyone and select Full control on the Sharing tab.
  7. Click the Security tab, and select Everyone and select Full control.
  8. Select QBDataServiceUser (or the user appropriate to your version of QuickBooks) and select Full Control.

To create the QBDataServiceUser if it does not exist:
  • Windows XP Pro:
  1. Click the Microsoft Windows Start button and select Run. . Enter control in the Open field and click OK.
  2. Double click User Accounts.
  3. Click Add, enter the appropriate data service user name for your version of QuickBooks, and click Next.
  4. Select Restricted User and click Finish.
  5. Click OK and close the Control Panel.
  • Windows XP Home Edition:
  1. Click the Microsoft Windows Start button and select Run. . Enter control in the Open field and click OK.
  2. Double click User Accounts.
  3. Click Create a new account and enter the appropriate data service user name for your version of QuickBooks.
  4. Click Next and select Computer administrator.
  5. Click Create Account and close the User Accounts window and the Control Panel.
