Warning: Could not print to printer

The following message is returned when attempting to print mailing labels or checks:

Why this is happening
  • There may be contradictory settings in the QuickBooks Desktop Printer Setup window
  • The printer has the word "on" in the printer name
  • The printing preference  for the Microsoft XPS Document Writer is set to "Automatically open XPS documents using the XPS veiwer" is checked
How to fix it

Intuit recommends 2 solutions for this problem. The first solution may solve your problem, or you may need to try all to resolve the issue. For best results, perform the solutions in the order shown.

Note: The steps below are specific for Windows 7 Operating Systems and earlier. For Windows 8 users, please refer to this article.

Solution 1

Uncheck the printing preference in the Microsoft XPS Document Writer

  1. Open your Start menu and select Devices and Printers
  2. Right click on the Microsoft XPS Document Writer
  3. Choose Printing Preferences
  4. Click on the XPS Documents tab
  5. Uncheck the box labeled Automatically open XPS documents using the XPS veiwer
  6. Click OK and close the Devices and Printers
  7. If a window labeled XPS viewer is open, close it
  8. Repeat the action that caused the original error

Solution 2

Change settings in the Printer Setup window:

  1. From the QuickBooks File menu, choose Printer Setup
  2. From the Form Name menu, select Label
  3. Ensure that the correct Printer Type is selected for your printer, click Options, and then click on the Paper tab
  4. From the Source is menu, choose the correct option
    • If Continuous (Perforated Edge) was selected as the printer type, choose Continuous or Tractor Feed
    • If Page-oriented (Single sheets) was selected as the printer type, choose Auto Select or Manual Feed
  5. Click OK twice to save the printer settings
