Intuit QuickBooks Mobile Apps - Frequently asked questions

You can use the QuickBooks mobile apps on iOS (iPhone, iPad, iPod touch) and Android (phone and tablet) devices.

Important for iOS users:

• QuickBooks mobile version 2.1 is now available to all users on iOS devices with iOS versions 5.x.x through 6.x.x (iPhone, iPad, and iPod touch).
• If you're using an iOS version earlier than 5.0, you must upgrade your device to the latest iOS to use QuickBooks mobile 2.1 or later.
• The app is optimized for iPhone, so if you search in the app store from an iPad, you'll need to display iPhone apps to see it in the list.

Important for Android users:

• QuickBooks Mobile version 3.1 is now available from Google Play for all users on Android devices with OS version 2.1 and greater (phones and tablets).
• If you were using the Beta version or version 3.0, you must uninstall it before you install version 3.1.
• To uninstall, tap and hold the app, then drag it into the Uninstall trash can at the top of the screen.

 

Intuit Sync Manager synchronizes data through a highly secure connection between your QuickBooks company file and the QuickBooks mobile app.

Customer, estimate, invoice and sales receipt data that you add or update in QuickBooks syncs with your QuickBooks mobile app, and any data you add or update in the app syncs back to QuickBooks—so your data stays in sync wherever you decide to work.

Important: In QuickBooks for Windows, if you include a web site in your Company Information, then you must include http:// in the URL to ensure there are no errors when you sign in to the QuickBooks mobile app. 

Example: Use the format http://www.YOURCOMPANYURLHERE.com.  Do not use www.YOURCOMPANYURLHERE.com.

• If you're using QuickBooks Online, it's already included in your QBO subscription. Just install the app and sign in with your same username and password.

• If you're using QuickBooks for Windows (the desktop version), follow this link for up to date pricing information:

If you're a QuickBooks Pro/Premier Plus subscriber or have a QuickBooks Online subscription, the Intuit Data Protect (backup) service is included in your plan and you can use it to back up your company file. • QuickBooks Online users: The QuickBooks mobile app stays in sync with your QuickBooks Online company file.  If you want to manually refresh data on a page, just tap and pull the page down to quickly refresh the data with your latest changes from QuickBooks.
   
• QuickBooks for Windows users: To see the date and time of your last sync and next scheduled sync, in QuickBooks on your desktop, open Intuit Sync Manager.

To manually sync your data before the next scheduled sync, in QuickBooks on your desktop, double-click the Intuit Sync Manager icon in your system tray. Choose Options > Automatic Sync options, select the sync frequency, and save your setting.

1. In a web browser, go to QBConnect.intuit.com
2. Sign in with the Admin's user id and password.
3. Click on Manage Users.
4. To add a user, click on Invite user and enter their email address.

  • QuickBooks Online users: The QuickBooks mobile app is part of your current subscription. Call support at 800.330.2052 (M-F 6am - 6pm PT; Sat 6am - 3pm PT).
  • QuickBooks for Windows users: After you sign up for QuickBooks mobile and install the application, you can call support at 800.450.8475 (M-F 6am - 8pm PT).

Functionality in several areas differs when using the QuickBooks mobile apps: 

Customer Jobs

• You can create, edit, and use Customer Jobs on Android only.

 

Sales Tax

• Inactive sales tax amounts appear in the list.

 

Sales Receipts

• If you use a custom sales receipt template in QuickBooks but haven’t activated it to use online, we use the standard sales receipt template. (See the Templates section below for instructions to activate your QuickBooks custom templates to use online.)
• For the payments assigned to a sales receipt:
  • You must activate QuickBooks default payment types: Cash, Check, Credit (all card types).
  • Debit, E-Check, and Gift card are not currently supported.
  • If more than one Cash or Check type is available, the first one in the Payment Method list will be selected for that transaction. The ones created will be used if that method is the first of that type in the list.

 

Templates

• You may see QuickBooks default templates for transactions created from QuickBooks for Windows while accessing them through the QuickBooks mobile app.
• Although sales tax items don’t appear in sales receipts or invoices, the sales tax is included in the total amount.

 

Convert and Copy

If you try to convert an estimate or copy a transaction that contains one of the unsupported item types (listed below), you’ll see the message "Unable to Convert" or "Unable to Copy" with information about how to complete the transaction.

Unsupported item types:

• Fixed asset
• Group item whose percent-based item causes an incorrect total
• Sales tax
• Marked up items

 Examples of the error message:

• Unable to Convert - We’re sorry! This estimate contains an item that won’t convert. You can convert the estimate in QuickBooks or create the invoice from scratch.
• Unable to Copy - We’re sorry! This invoice contains an item that won’t copy correctly. You’ll need to create the invoice from scratch.

 

iPad

• The QuickBooks mobile app works on the iPad. The display is optimized for iPhone and iPod touch devices, so when you use it on the iPad, it doesn’t fill the entire screen. You can use the iPad zoom button to enlarge the display.

 

Intuit GoPayment/Merchant Services

The QuickBooks mobile app DOES NOT currently integrate with Intuit Merchant Services (IMS) or GoPayment for the purposes of receiving credit card payments. If either IMS or GoPayment are used to receive payment, the payment must be attached to the outstanding invoice within QuickBooks directly.
