Converting From QuickBooks Invoice Manager to QuickBooks

QuickBooks Invoice Manager is an Intuit product below the level of QuickBooks Simple Start.

  • It deals with the A/R side of QuickBooks, Estimates, Invoicing and Payments.
  • It installs in a similar location as QuickBooks, C:\Program Files\Intuit\QuickBooksXXXX (Windows XP), C:\Program Files (x86)\Intuit\QuickBooksXXXX (Windows Vista)
  • The data file is located in a similar location as the QuickBooks data file C:\Documents and Settings\All Users\Shared Documents\Intuit\QuickBooks\Company files\XXXX Company Files (Windows XP) C:\Users\Public\Documents\Intuit\QuickBooks\Company Files (Windows Vista) and is a QBW file as well.
Solution Description

If you want to convert a QuickBooks Invoice Manager to a version of QuickBooks, the conventions for migrating a data file from one version of QuickBooks to another hold true:

  • You can move laterally in product year, i.e., you can convert the version year of QuickBooks Invoice Manager to the same version year of QuickBooks (QuickBooks Invoice Manager 2007 to QuickBooks 2007).
  • You can migrate up from one version year of QuickBooks Invoice Manager to newer version year of QuickBooks (2007 QuickBooks Invoice Manager to QuickBooks 2009) but not to QuickBooks Simple Start. 
  • You cannot move down in version year, i.e., you cannot convert a QuickBooks Invoice Manager 2009 to QuickBooks 2007.

Once the conversion is complete, the files are separate and you cannot transfer further data from QuickBooks Invoice Manager to QuickBooks.

To move up from QuickBooks Invoice Manager to QuickBooks follow these steps:

  1. Install your preferred version of QuickBooks of the same or later version year as the installed version of QuickBooks Invoice Manager. If you want to maintain your installation of the QuickBooks Invoice Manager, install the QuickBooks into its own folder when you come to that option in the installation process. Example: C:\Program Files\Intuit\ QuickBooks Premier 2009.
  2. Restart your computer.
  3. Open QuickBooks.
  4. In QuickBooks click on File, then select Open or Restore Company and Next.
  5. In the Open Company window navigate to the QuickBooks Invoice Manager file you have been using, it will have a QBW extension (Example CompanyName.QBW). Highlight it and click on Open.
  6. You will be asked to backup the file, do so and assure that you keep this file safe. Burning it to a CD or DVD is a good option.
  7. Once the Backup is complete the file will convert and open up in QuickBooks.
