Transferring memorized report templates from one company to another

There is a memorized report in one QuickBooks file and you would like to use the template in another file.

Detailed instructions
The following steps explain how to export a Memorized report template from one QuickBooks file and import it into another. Only the settings used to create the report are exported, not the actual data. When you import a report template, a new memorized report (or report group) appears in your Memorized Report List.

To export the templates you use for your memorized reports so that other users can create the same memorized report using data from their own company files:

  1. Make sure that the Memorized report is customized appropriately (date range, filters, etc.) for your intended recipient. Then memorize the report again if necessary.
  2. From the Menu Bar select Reports->Memorized Reports->Memorized Reports List.
  3. Select the report, or the report group, you want to export.
  4. Click the Memorized Report button and select Export Template.
  5. (Optional) Change the filename shown for the export file.
Note: By default, QuickBooks uses the name of the memorized report as the filename.
  6. Click Save.

Note: Exporting report templates is only a feature of the Premier and Enterprise programs.

Note: Some report settings cannot be exported. When a memorized report has filter settings that are specific to your company file (for example using particular accounts,  customers, jobs, items, etc,) QuickBooks will not let you export it.  Attempting to do so will result in the message: QuickBooks cannot export this memorized report because it contains filter settings unique to your company file.

To import a memorized report template created in another company file:
  1. From the Menu Bar select Reports->Memorized Reports->Memorized Reports List.
  2. Click the Memorized Report button and select Import Template.
  3. Select the name of the memorized report file you want to import.
    • The file, which has a .QBR extension, may be on a hard drive, network drive, or removable media drive.
  4. Click Open.
  5. Fill in the window that appears:
    • Assign a different name to the memorized report (or report group) if you wish.
    • (Single reports only) To add the memorized report to an existing group, select the Save in Memorized Report Group checkbox, and select the group you want from the drop-down list.
  6. Click OK.
