Importing Outlook contact data before syncing QB data

Before importing data from Microsoft Outlook into QuickBooks Customer Manager or QuickBooks Client Manager, the contact data must be imported from QuickBooks. Refer to "Importing data from QuickBooks to Customer Manager or Client Manager" to complete that first step.

If data will be imported only from Microsoft Outlook, refer to "Importing data from Microsoft Outlook into Customer Manager or Client Manager when not also planning to synchronize with QuickBooks" for assistance.

When importing information from Microsoft Outlook, the data must be mapped to a corresponding field in Customer Manager or Client Manager. After importing the data for the first time, check it for accuracy. If the data imported correctly, Customer Manager or Client Manager is ready to synchronize with Microsoft Outlook on an ongoing basis. If the data imported incorrectly, undo the import and start again.

 

Detailed Instructions

 

 

 

To import Microsoft Outlook contact data into Customer Manager or Client Manager after importing from QuickBooks:

 

 

  1. Open the Microsoft Outlook import wizard.
    • Customer Manager 2.5:
      1. Select the File menu and select Import.
      2. Click the Sync (2-way) tab.
      3. Click Set Up Outlook Sync.
    • Customer Manager 2.0 or Client Manager 2.0: Select the File menu and select Import > Microsoft Outlook.
  2. Select the Microsoft Outlook contacts folder to be imported and click Next to open the Field Assignments window.
  3. Click the Imports as drop-down arrow to select a field name in Customer Manager or Client Manager that corresponds to the Field to assign from Microsoft Outlook.
    • Customer address fields in Microsoft Outlook must be mapped to one of the Address: Bill To or Address: Ship To fields in Customer Manager or Client Manager if they will be synchronized with QuickBooks. Address: Bill To and Address: Ship To are the only address fields that synchronize with QuickBooks.
    • Vendor address fields in Microsoft Outlook must be mapped to one of the Address: Main fields in Customer Manager or Client Manager.
    • If customer and vendor addresses occupy the same fields in Microsoft Outlook, select the best option for your situation:
      • Correct the data in Microsoft Outlook before importing:
        1. Click Cancel to cancel the import.
        2. Open Microsoft Outlook and open the Contacts folder.
        3. Edit the address information for each of the contacts to use a different type of address for customers than for vendors. For example, enter customer bill to and ship to addresses in the Business and Home address fields respectively in Microsoft Outlook, and enter vendor addresses in the Other address field.
        4. Import the contacts from Microsoft Outlook beginning with step 1.
      • Correct the data after importing from Microsoft Outlook:
        1. Finish importing the data beginning with step 4.
        2. Edit each of the vendor records in Customer Manager or Client Manager and move the address information to the Address: Main fields.
  4. Repeat step 3 until all field assignments have been mapped correctly.
  5. Click Next when you are finished.
  6. Click a contact name that was imported from Microsoft Outlook to open the name record.
  7. Verify that the contact information appears in the correct fields, and then click the Back button to return to the names list.
  8. Repeat steps 6 and 7 to view several more records imported from Microsoft Outlook and verify the accuracy of the information in each field.
    • If the information and field assignments in Customer Manager are correct, the import is finished.
    • If the information or field assignments in Customer Manager are not correct, or if you want to make changes:
      1. Select the File menu and select Utilities > Undo last import/sync.
      2. Repeat from step 1 to reimport the data from Microsoft Outlook. Change the field assignments in step 3 as needed to modify how Customer Manager or Client Manager imports the data.
