Set QuickBooks import options

 

 

In Customer Manager, you need to determine what data you want to import from QuickBooks.

Setting import options is a step that you can do while synchronizing. To get to the step for setting options, complete the steps in Synchronize with QuickBooks until you get to the step for setting options.

Detailed Instructions

 

 

  1. Under Names, to import data from the:
    • Customers & Jobs list in QuickBooks, select the Customer:Job list checkbox. In QuickBooks, this list is also called Customer:Job on forms.
    • Vendors list in QuickBooks, select the Vendor List checkbox.
    • Employees list in QuickBooks, select the Employee List checkbox.
    • Other Names list in QuickBooks, select the Other Names List checkbox. (The Other Names list is for people, companies, or things that are not customers, vendors, or employees. For example, this list could include owners and fixed assets.)
  2. To import customers that have been designated in QuickBooks as inactive, select the Import Inactive Names checkbox. Customers that are designated as inactive in QuickBooks are designated as Hidden in Customer Manager.
  3. If you use the Jobs feature in QuickBooks:
    • (Recommended) If you use jobs to track projects in QuickBooks, do not select the Import Jobs as Contacts checkbox. Note: Jobs are not imported to Customer Manager.
    • (Not recommended) If you use jobs as another way to track contacts in QuickBooks (users sometimes use jobs as another way to track the contacts of customers, or sub-contacts), select the Import Jobs as Contacts checkbox.
      Warning: If you select this option, your jobs are imported as related contacts in and appear in the Names list. They are not imported as Projects.
  4. To import financial transactions, select the Import Financial Transactions checkbox, and set a date range for how far in the past you want to bring financial transactions into from QuickBooks. (A list of the type of transactions that can sync are listed in Importing or synchronizing QuickBooks transactions.)
    Note: If you share data with other users through a Depot file, only one user should sync data with QuickBooks.
