Print Form 1099-MISC in QuickBooks for Mac

This article describes printing Form 1099-MISC in QuickBooks for Mac.

Note: QuickBooks for Mac 2007 and earlier do not print Form 1096. You can use the total for vendors selected (shown on Form 1099-MISC) when completing your 1096 form but the form is not available within this program.

Detailed Instructions

Before printing 1099-MISC forms Intuit recommends that you perform these steps:

  1. Verify all 1099 information by viewing the 1099 reports:
    1. From the QuickBooks Reports menu, choose Vendors & Payables and then select 1099 Summary.
    2. If the figures appear incorrect, double-click the amount in the TOTAL column to view the individual transactions.
  2. Make sure that you have blank 1099-MISC forms designed for printers. These forms are available at office supply stores and from the Intuit Market web site.
  3. Make sure your printer is turned on and is online.
  4. Print a test form before printing final forms (see instructions below for your version of QuickBooks).
  5. Load enough blank 1099-MISC forms in your printer as you would load letterhead.

    Note: Do not collate your forms before putting them into the printer. Instead, start by loading all of the Copy 1 forms. After you have printed all of the Copy 1 forms for each vendor, then load and print the Copy 2 forms.

    • If you have a continuous-feed printer, you may need to adjust for the additional thickness due to the copies.
    • If you have a page-oriented printer, it is simpler to print copies separately rather than all at once.
  1. From the File menu, choose Print Forms, and then select 1099s/1096.
  2. For complete instructions, select your version of QuickBooks below.

Note: As of tax year 2011, the IRS requires you to exclude certain payments types from the 1099-MISC forms you issue to vendors. In the event the payment was made through a third party payment processors, such as credit card companies or Paypal, and will show on 1099-K forms filed from those processors, it should be excluded from your form 1099-MISC.

To print test forms:

Print a test form in QuickBooks  for Mac 2012 and later

  1. When on step 5 (Print your forms) of the 1099 Wizard click Print 1099s.
  2. Select at least one vendor and then click Print 1099.
  3. Click the Show Details button if you do not see information to the right of the preview.
  4. Select Alignment.
  5. Move the black box to change the alignment of the text on the label. Check the preview in the upper left corner of the window to see the text's new location. You can also nudge the text by entering values for X or Y (or use the Upand Down arrow keys to change the numbers). 

 

To print 1099-MISC forms:

QuickBooks for Mac 2012 and later

In QuickBooks Mac 2012 and later a 1099 wizard has been added that will automatically exclude appropriate payments to vendors.

  1. Go to Vendor > Print 1099s/1096...
  2. Click the Get Started button.
  3. Select your 1099 vendors and click Next. (You can double click on the vendors here to edit their information)
  4. Map your accounts and edit thresholds if needed and click Next.
  5. You can choose to view reports to show your included 1099 payments or excluded payments. When done click Next.
  6. Confirm your  1099 entries after adjustments, If correct click Next.
  7. Click the Print 1099s button.
  8. Select all vendors you wish to print 1099s for and click the Print 1099 button.
  9. Confirm your printer settings and click Print.
