Printer preference settings

You can select your printer settings from the File menu, or from the Print window on a transaction or a batch of transactions.

QuickBooks remembers the changes you enter for each transaction type in a file named QBPrint.QBP:

  1. You can choose Voucher as the style for checks and paychecks and QuickBooks remembers that setting the next time you print checks.
  2. You can select Printer #1 for invoices and Printer #2 for reports and QuickBooks remembers which printer to use for each type of print job.

Printer Setup
  1. From the File menu, select Printer Setup.
  2. Select the form you need to set up.
  3. Click the Settings tab.
  4. Click the Printer name drop-down arrow and select a printer from the list.
  5. Click the Printer type drop-down arrow and select Continuous or Page-oriented.
  6. Click the Options button to access the printer driver for additional options.
  7. In the Print on section, select one option:
    • Intuit Preprinted forms,
    • Blank paper,
    • Letterhead.
  8. Check the Do not print lines around each field box to remove border lines from form fields.
  9. (Optional) Click the Help button for answers to specific questions about Printer setup.
  10. When you have completed the printer setup for your form, click OK.

Repeat steps 1 through 9 for any additional forms you want to set up.

If the text is out of position when you print a form, use the Align button to make adjustments. Click the Help button, inside the alignment feature for specific instructions for aligning forms.

Change when printing a batch of transactions
  1. Record individual transactions with the To be printed (Print Later in QuickBooks 2013) checkbox selected.
  2. When the batch of transactions is recorded, from the menu bar, select File and Print Forms, and then select the appropriate form such as Invoices.
  3. Click each desired line to select the Invoices to print, and then click OK.
  4. In the Print window, choose the appropriate options (see above), and then click Print.
