Some accounts show zero balances but should have balances in QuickBooks Statement Writer (QSW)

Some accounts show balances with the amount of 0.00 in QuickBooks Statement Writer (QSW), although QuickBooks reports show a balance for these accounts.

When clicking Zoom into QuickBooks nothing happens or an Unhandled Exception error is displayed.

Why this is happening

This may be caused by:

  • A preference in QuickBooks that conflicts with sending data to Intuit Statement Writer.
  • An invalid character in the account name.
How to fix it

Solution 1: Change the Preference in QuickBooks

  1. From the Edit menu, select Preferences.
  2. On the left pane, click Accounting then go to the Company Preferences tab.
  3. Uncheck the "Show lowest subaccount only" preference.
  4. Click OK.

Solution 2: Edit the account name to remove any special characters.

  1. From the Lists menu, select Chart of Accounts.
  2. Scroll through the Chart of Accounts and look for any special characters.
    Note: Most special characters (&, $, /, etc.) are not invalid. You would be looking for any character that you cannot normally make with a standard keyboard.
  3. Right click the account in question and select Edit Account.
  4. Remove the special character from the Name field.
  5. Click OK.
